Six stages, six records

Each stage ends with a document you keep. Scroll through and watch your pack build.

  1. Define the requirement

We agree the specification, scope, budget and the standards suppliers must meet, in writing, before anyone is approached.

Adds to your pack: the requirements record

  2. Map the market

We find suppliers and check them against the agreed criteria. Only those who pass go forward.

Adds to your pack: the supplier vetting register

  3. Issue the request for quotation

Every shortlisted supplier gets the same request, at the same time, through one channel.

Adds to your pack: the RFQ pack

  4. Manage the responses

We collect the quotes, chase anything missing, and set every response side by side in the evaluation matrix.

  5. Evaluate and decide

Each response is scored against the weights agreed at stage one. You make the decision; we record it with the reasons, and you sign it.

Adds to your pack: the decision log

  6. Hand over

You receive the complete pack, with a summary report ready for an audit, a board or an investor.

Where inspection and freight fit in

When an order needs them, they run alongside stages five and six: samples checked before you decide, an independent pre-shipment inspection before goods leave, and a vetted freight provider to move them.

What we do inside those stages

Sign-off at each stage is by email or a signed PDF, whichever suits you. It's recorded in the pack either way.

Supplier vetting
Credentials, capability, compliance and financial standing, checked before you go near the market.
RFQ and tender management
Requests issued and managed the same way for every supplier, with a full paper trail.
Evaluation and decision records
A scoring framework agreed upfront, and a signed record of every award.
Supplier communication
All contact runs through one traceable channel, so every exchange is recorded.
Inspection coordination
Independent inspectors sourced and vetted, sample and pre-shipment checks arranged, results kept.
Logistics coordination
Freight providers vetted and the movement plan coordinated. Contracts stay between you and them.
Process design and review
A sourcing process sized to your organisation, built to one documented standard.
Negotiation support
We don't negotiate for you. We put every quote on a like-for-like basis and hand you the evidence, so you negotiate from a position of strength.

How long it takes

A straightforward project, one category with three to five suppliers, usually takes two to four weeks.

A complex enterprise or public sector process can take six to twelve weeks. We agree the timeline at the start and report against it at every stage.

Where our role stops

We manage the sourcing process. Decisions, contracts and payments remain with you.

We do

  • Find and vet suppliers
  • Run the RFQ and manage all supplier contact
  • Coordinate inspection and freight partners
  • Score responses against your criteria
  • Document every step and hand you the record

We never

  • Negotiate on your behalf
  • Sign contracts or take a contractual position
  • Handle payments of any kind
  • Make the decision or award the contract
  • Take commission or payment from suppliers

One fixed fee, agreed before we start

A fixed project fee or a monthly retainer; for public bodies, a day rate or a fixed project fee. We take no commission, no share of savings and no percentage of your supplier's price.
